2. How to use this manual
This manual, together with the South African Human Rights Commission's (now the Information Regulator's) guide on using PAIA, is intended to help you understand what records we hold and how to request access to them. The Regulator's guide is available at inforegulator.org.za.
3. Records we hold
Mooirivier Makelaars holds records in the following broad categories:
- Client records — quote requests, policy documents, claims history, and correspondence relating to insurance cover placed through us.
- Financial and compliance records — records we're required to keep as an authorised FSP under the Financial Advisory and Intermediary Services Act (FAIS).
- Employee records — standard HR and payroll records for our staff.
- Website and marketing records — quote requests submitted through this website, and general marketing materials.
Some of these records contain personal information and are also governed by our Privacy Policy.
4. Records available without a formal request
This website, our published brochures, and general product information are available to the public without needing to submit a PAIA request.
5. How to request a record
To request access to a record, submit a written request to the Information Officer above, including:
- Your identity and contact details
- A description of the record you're requesting, specific enough for us to locate it
- The form of access you'd prefer (e.g. a copy, or to inspect the record)
- Why you need access, if you're relying on that to support the request
We'll respond within the timeframes set out in PAIA. A prescribed request fee and, where applicable, an access fee may apply. [placeholder — confirm current fee schedule against the PAIA regulations]
6. Grounds for refusal
We may refuse access to a record on the grounds set out in PAIA — for example, where the record contains another person's personal information, or is privileged or commercially confidential. We'll explain the reason if we refuse a request.
7. Availability of this manual
This manual is available on this website and, on request, at our office during business hours.
